1. Who we are
1HRIS ("the Platform") is a human-resources information system operated by EMAAN Digital. This policy explains how we collect, use and protect personal data processed through the Platform and this website.
2. Data we process
For website visitors: contact details you choose to share when reaching out (e.g. via WhatsApp or email), plus the analytics data described in section 5. For Platform customers: employee records entered by your organization — such as names, NIC numbers, contact details, employment history, attendance, leave and payroll data — which your organization controls and we process on its behalf.
3. How data is used
Personal data is used solely to deliver the Platform's functionality: payroll and statutory computations (EPF, ETF, gratuity), leave management, document generation, analytics and related HR workflows. We do not sell personal data.
4. AI features
Certain features use AI (document generation, data import mapping, document splitting, analytics). Data submitted to these features is processed only to produce the requested output for your organization and is subject to human review controls in the Platform.
5. Cookies and analytics
This website uses Google Analytics 4 (measurement ID G-ESDS1KDX17) to understand how visitors find and use the site. It sets first-party cookies (_ga, _ga_*) and sends your IP address, user agent, referrer and the pages you view to Google, acting as our processor; IP addresses are truncated by Google before storage and we retain reports for 14 months. We do not use this data to identify you personally, we do not run advertising or remarketing tags, and we do not sell it. You can opt out with a browser cookie-blocker or the Google Analytics opt-out add-on, and clearing site data removes the cookies. The Platform itself (app.1hris.com) is separate: it sets only the cookies required to keep you signed in.
6. Security & retention
Data is protected with encryption in transit and at rest (including AES-256 for audit records). Audit trails are retained for up to 7 years to support regulatory compliance. Uploaded staging documents are auto-deleted per the schedules described in the Platform.
7. Your rights
Employees whose data is processed in the Platform should direct access, correction or deletion requests to their employer (the data controller). We support controllers in fulfilling such requests.
